Is Zoho Books Worth It Over Its Free Plan and QuickBooks?

Zoho Books is worth paying for once you need bank feeds or vendor bills. See both
gates priced against four QuickBooks plans.

“Three workflow cards illustrate choosing a Zoho Books plan for invoicing, connected banking, or supplier bills.”

Zoho Books is worth paying for only if you need bank feeds, sales-tax tracking or a second user; on 21 October 2026, Zoho’s US page put those on Standard at $15 a month billed annually, vendor bills on Professional at $40, and the Free plan’s ceiling at $50K revenue. So a three-user Standard team pays $180 a year, against $1,020 for QuickBooks Essentials at its 21 October 2026 list price.

Who Zoho Books is worth paying for

Zoho Books earns its price only when a feature you need sits behind a paid plan.

What Zoho says the Free plan is for

Zoho’s US pricing page, read 21 October 2026, pitches the Free plan at “solopreneurs and micro businesses.” The gates below decide when you outgrow it. For all six plans in one place, see every Zoho Books plan priced.

Find your row

  • If you only invoice and reconcile, read what the Free plan covers.
  • If you need live bank feeds or sales-tax tracking, read what Standard adds.
  • If you record vendor bills, read where Professional starts.
  • If you are weighing QuickBooks, go straight to the four-setup cost table.

Is the Zoho Books Free plan enough?

Yes, if you can work without live bank feeds: Zoho’s pricing FAQ, read 21 October 2026, keeps the Free plan open while financial-year revenue does not exceed $50K, for one user plus one accountant and 1,000 invoices a year.

What Free includes

“A bank statement passes through a manual file import into a reconciled ledger, illustrating the Zoho Books Free banking workflow.”
“Manual statement import and reconciliation are different from a connected bank feed.”

Zoho’s plan comparison page, read 21 October 2026, lists invoicing, bank reconciliation and bank-statement import on Free. You can bring transactions in by file. You can’t connect a live feed.

What Free leaves out

The same page, on the same date, marks third-party bank and card feeds, sales and use tax tracking, and 1099 e-filing as unavailable on Free. The finer limits are on where the Free plan’s caps apply.

This lists what each plan includes. It does not say which plan meets your sales-tax or 1099 duties; that is a question for a CPA.

What Zoho Books Standard and Professional add

“Three Zoho Books workflow groups show invoicing, connected banking with three users, and supplier bills with inventory.”
“Use the feature progression to identify the work your business needs, then check which plan supports it.”

Standard adds live bank feeds and sales-tax tracking; Professional adds vendor bills. On 21 October 2026, Zoho’s US pricing page listed Standard at $20 a month or $15 billed annually, and Professional at $50 or $40, per organization, excluding local taxes.

Standard: bank feeds, sales tax, three users

Standard includes three users and adds connected bank feeds, sales and use tax tracking, and 1099-MISC and 1099-NEC e-filing (pricing page, 21 October 2026). Support moves from email-only to email, voice and chat. Tracking a tax is a software feature; whether you owe it is a CPA’s call.

Professional: where vendor bills start

Zoho’s comparison page, read 21 October 2026, states that “Bills are supported only in the Professional, Premium, Elite, and Ultimate plans.” Professional includes five users and also starts purchase orders, multi-currency and stock tracking.

$15 is the annual-billed rate

On 21 October 2026, Standard cost $15 a month only when paid for the year; billed monthly, it was $20. Extra users cost $3 a month each, or $2.50 billed annually, on the same date. Team totals are on what each extra seat costs.

Is Zoho Books cheaper than QuickBooks for your setup?

Zoho costs less in every paid setup below, and QuickBooks Free wins the first. All totals are the site’s calculations from both vendors’ US pages, read 21 October 2026.

QuickBooks year one is three months at Intuit’s 50% introductory price plus nine at list. For Simple Start, that is 3 × $19 + 9 × $38 = $399, at prices read 21 October 2026. Zoho’s yearly figure is 12 times its billed-annually rate, so Standard is 12 × $15 = $180 on the same date; Zoho’s pages don’t say whether that year is charged up front.

Where QuickBooks wins

QuickBooks Free connects one bank and sends two invoices a month, or unlimited ones if you qualify for and enable QuickBooks Payments, per Intuit’s pricing page on 21 October 2026. Zoho Free connects no live feed. If one synced account is the whole job, QuickBooks Free covers it without a bill, though it gives no accountant access.

What the table excludes

Local taxes, add-ons, payment fees and payroll are left out. Rows pair by need and seat count, not by plan name.

Intuit’s subscription page, read 21 October 2026, lists vendor bill management under Essentials, not Simple Start. Its pricing page does list ACH bill pay on Simple Start, so the five-user row lands on Plus for the seats. The subscription page also makes the 30-day trial and the 3-month discount separate offers that can’t be combined; the table uses the discount.

Has Zoho Books or QuickBooks raised prices?

QuickBooks has, on three paid plans; Zoho’s list prices did not move between this site’s two captures.

QuickBooks: the August 2026 change

Intuit’s product-update notice, read 21 October 2026, says monthly prices for QuickBooks Essentials, Plus and Advanced change for renewals on or after 1 August 2026; Free and Simple Start stay unchanged. It does not state the old prices, so neither do we. New subscribers keep their starting price until their seventh invoice.

Zoho: what our captures show

Zoho’s Standard and Professional prices read the same on 8 October 2026 and 21 October 2026. Two weeks is a record, not a trend; the longer story is in Zoho’s dated price record.

When Zoho Books stops being worth it

Three conditions can turn the cheaper Zoho choice into the wrong one.

Revenue nearing the Free ceiling: what Zoho doesn’t say

Zoho’s pricing FAQ, read 21 October 2026, ties Free plan eligibility to financial-year revenue. It does not say what happens to a Free organization that passes the threshold.

✅ Do This: Before revenue gets close, ask Zoho support in writing what happens next, and keep the dated reply.

Zoho’s pages disagree on two limits

On 21 October 2026, Zoho’s pricing FAQ and its comparison page gave different scheduled-report counts for Standard, and different pictures of API access on Free. If a plan choice rests on either, get Zoho’s answer in writing first.

Annual billing and leaving early

Zoho’s refund terms, read 21 October 2026, give a full refund in the first 45 days of an annual plan and the first month of a monthly one.

⚠️ This Costs You: After that window, an annual Zoho plan returns no cash. A partial downgrade is repaid as subscription credit, valued at the monthly list price rather than the discounted rate you paid.

If you might leave within the year, monthly billing costs more but risks less. Before committing, see who owns Zoho and its public record.

🧾 Not Tested: No one at The Software Scribe has opened a Zoho Books organization or a QuickBooks company file. Bank-feed behaviour, sign-up screens and what happens past Zoho’s Free ceiling were not observed; every figure above comes from the vendors’ public pages, read 21 October 2026.
