Does Zoho Books Share Your Data? What Its Privacy Policy Says
Zoho Books privacy, mapped from Zoho’s own policy: who can reach your ledgers, what its AI may use, and why deletion takes up to nine months.

Table of Contents
No. As of 21 October 2026, Zoho’s privacy policy, last updated 22 December 2025, says Zoho does not sell personal information and makes no advertising revenue. It does share Zoho Books data with its group companies, listed sub-processors, staff resolving errors, and any app you connect. A closed account’s data leaves active systems within six months and backups three months later.
Two kinds of Zoho Books data, two sets of rules

Zoho’s privacy policy, last updated 22 December 2025 and read on 21 October 2026, splits your information into two parts with different rules.
Your account details: Zoho decides how they’re used
Your name, login email and payment details fall under Part I. That is the information Zoho collects and controls itself, and it uses it to run your account and to tell you about its own products.
Your books and customer records: you instruct Zoho
Invoices, contacts and ledgers are service data under Part II. The policy says you own that data, and Zoho processes it only on your instructions.
Which part your question is about
“Who can see my client’s address?” is a Part II question. “Who sends me offers?” is a Part I question.
What Zoho promises about selling your data
No. Zoho’s policy, read 21 October 2026, says Zoho does not sell any personal information.
No sale and no ad revenue
Zoho states it does “not make a single dollar from advertising revenue”, and says that includes the free editions of its products.
You own the service data
You can access your service data, share it through integrations, and ask Zoho to export or delete it, per the same policy.
Notice before major changes
Changes that affect your rights come with at least 30 days’ email notice. Minor changes come with no email, so the “Last updated” line is the thing to watch.
If Zoho is ever sold
Zoho says any buyer would be legally bound to honour these commitments. It also says you would be told by email or by a prominent notice on its website.
Who can actually reach your Zoho Books data

Zoho’s documents, read 21 October 2026, name eight kinds of recipient. None of them buys your data, but each can reach part of it.
The recipient map
| Recipient | What it can reach | When | Can you switch it off? |
|---|---|---|---|
| Zoho group companies | Service data | To run the service and give support | No |
| Third-party sub-processors | Service data | As listed on Zoho’s sub-processor page | Some are on by default with an admin opt-out; others stay off until enabled |
| Zoho staff and contractors | Service data | Fixing errors, checking spam reports and OCR scans | No |
| Apps you connect | What the integration needs | Only with your explicit permission | Yes |
| Marketplace app developers | Your name and email | When you install their app | Yes |
| Service providers, including marketing and advertising partners | Account (Part I) details, not ledgers | To serve Zoho | Partly, through opt-outs |
| Authorities | Personal and service data | Legal process, including national security | No |
| A future buyer of Zoho | Everything | Only if Zoho is sold | No |
Compiled by The Software Scribe from Zoho’s privacy policy (22 December 2025 version), sub-processor page and Zoho Books FAQs, all read 21 October 2026.
Zoho staff and contractors
The policy says staff access to service data is restricted to specific people, and that it is logged and audited. Zoho’s security FAQ, read 21 October 2026, covers legal requests. Zoho says it reviews law-enforcement requests and objects to overbroad ones, and that it notifies customers before disclosing anything unless the law forbids it.
Apps you connect yourself
Zoho’s FAQ on third-party sharing says Zoho Books hands data to an integration only with your explicit permission. It also says Zoho Books is not accountable for how that third party then processes the data. Zoho’s FAQ on sub-processors names Yodlee for bank feeds; see how Zoho Books bank feeds connect and which integrations each Zoho Books plan unlocks.
What Zoho’s AI clause allows
The policy allows only two AI uses of service data: anonymized crops that improve accuracy, and models built for your own organization. Zoho’s Books AI features page, read 21 October 2026, says each feature is switched on in AI Preferences, where you choose an AI provider and model. That page does not name the providers.
Zoho’s sub-processor directory did not load its list when we opened it on 21 October 2026. That means the full set of Zoho Books providers, including any AI providers, is not recorded here.
Who owns Zoho, and what its incident record shows
Zoho Corporation is privately held. Its about page, read 21 October 2026, says it has never taken money from investors.
A privately held company
The same page records Shailesh Kumar Davey taking over as CEO of Zoho Corp in 2025, with Sridhar Vembu moving to chief scientist.
The breaches were ManageEngine on-premises, not Zoho Books
The 2021 attacks often filed under “Zoho” exploited a flaw in ManageEngine ADSelfService Plus. That is software companies run on their own servers, not Zoho’s cloud. The NVD record for CVE-2021-40539, read 21 October 2026, lists version 6113 and earlier, rated 9.8 critical.
Our searches that day found no reported Zoho Books breach. That is the limit of what we checked, not proof that none occurred.
Audits that name Zoho Books
Zoho’s compliance page, read 21 October 2026, lists ISO/IEC 27701, a privacy-management certificate, as valid until 21 August 2028. Its PCI entry is a self-assessment that covers Zoho Books, and it still showed a validity date of 14 October 2026 when we read it that day.
Independent ratings, dated
ToS;DR’s Zoho rating showed Grade B on 21 October 2026, with two negative points. One is that Zoho tracks which page referred you; the other is that it treats continued use as consent to changed terms. Pages still quoting Grade A are out of date.
What would change this privacy verdict
Four events would change this answer, and each one has a way to spot it.
A rewritten policy
Check the policy’s “Last updated” line. The notice rules for changes are in the promises section above.
A new sub-processor
If you administer the organization, you can subscribe to notices of sub-processor additions and changes from Zoho’s sub-processor page.
AI features that call outside models
Zoho’s OpenAI integration overview, read 21 October 2026, lists 14 products that use a bring-your-own-key model, and Zoho Books is not among them. Zoho Books’ own AI Preferences still asks you to pick a provider, so check which provider each feature uses before switching it on.
A new owner
Zoho says it will notify customers of any change in ownership. Treat that email as your cue to re-read the policy.
✅ Do This: If you administer the organization, subscribe to sub-processor notices today, then check which AI provider is selected for each Zoho Books feature before you enable it.
Who should still be careful with Zoho Books data
Three kinds of reader need an extra step beyond the defaults.
EU and UK businesses with transfer rules
The security FAQ says your data center follows the country you chose at signup, and that a .zoho.eu address means the EU data center. The policy still allows processing in the US, the EEA and other countries where Zoho operates, under a group agreement based on EU model clauses.
Ask Zoho for its data processing addendum. Whether it meets your obligations is a question for your data-protection adviser.
Firms holding clients’ sensitive details
Zoho’s Books privacy settings page lets you remove a role’s access to protected data; by default, only the Admin has that access. It also lets you store custom fields marked as PII in encrypted form, and users without access can’t export those fields. Set this up alongside your Zoho Books user roles.
Anyone closing an account: two deletion clocks
🛟 Back This Up First: Export or back up your Zoho Books organization before you cancel or delete anything. Both clocks below end in permanent deletion.
The first clock comes from the privacy policy. After you terminate your account, your data leaves the active database within six months and leaves backups three months after that.
The second clock comes from Zoho’s FAQ on cancelled subscriptions. It says an account left inactive for more than 120 days has its data permanently deleted. For the steps, see cancelling Zoho Books without losing data.
🧾 Not Tested: Nobody at The Software Scribe has used a Zoho Books account, so no settings screen, AI provider list or export was observed. Zoho’s sub-processor directory did not load for us on 21 October 2026, so this page names no Zoho Books provider beyond Yodlee.
