Xero invoice limit reached and what happens to extra invoices

invoice limit reached on the Xero Early plan showing invoice 20 and a new draft invoice

Hitting Xero’s Early plan cap doesn’t delete anything. From invoice 21, new sales invoices save as drafts instead of being approved or sent, and bills stop at five the same way. Xero offers Early subscribers a one-off extension that releases a limited number of extra invoices and bills without upgrading โ€” offered once only. Verified against Xero’s Early plan page and its US FAQ, 7 September 2026.

What actually happens when you hit the Early plan cap

Xero’s documentation is specific: once you reach the limit, additional sales invoices and bills save as drafts.

invoice 21 saved as a draft after the Xero Early plan invoice limit is reached
An invoice beyond the plan limit remains as a draft instead of being deleted.

Your invoice is a draft, not a deletion

Nothing is lost. The draft sits in your invoice list, unapproved and unsent, until you release it or the month turns over. Xero says to wait until the next month but does not specify calendar or billing month, and we could not verify which.

This page covers the US Early plan

The Xero Early plan allows 20 invoices and 5 bills a month. The equivalent tier is Ignite in Australia, New Zealand and the UK, and Starter elsewhere; every figure here is the US plan. For the caps across all three US tiers, see the full set of Xero plan limits.

๐Ÿ’ต Verified: Xero Early (US) โ€” 20 invoices and 5 bills per month, per Xero’s Early plan page, retrieved 7 September 2026.

The one-off extension most guides never mention

Sometimes you can clear the block without paying anything, and Xero documents this on its own site.

What the extension does

Xero states that Early subscribers can use a one-off extension to process a limited number of additional invoices and bills. It applies to the month you are in.

You only get it once

A one-off extension can provide limited additional invoice and bill capacity.

Xero’s wording is “a limited number” โ€” it does not publish how many, and we found no first-party figure. Nor does it say whether “once” means once per organization or once per subscriber.

How to tell if yours is gone

Availability is the signal: Xero says that if the extension is not offered to you, you have already used it.

โœ… Do This: Check whether the extension is offered before you upgrade anything. Xero presents it as an alternative to upgrading rather than a paid add-on, though it does not state a charge either way.

What counts toward your 20, including things you didn’t send

Approving an invoice consumes a slot, not just sending one โ€” that is the line in the footnote on Xero’s US pricing page, retrieved 7 September 2026.

Approving counts, not just sending

invoice limit showing approved and sent invoices plus app transactions contributing to Xero capacity
Approving an invoice can consume capacity, while connected app transactions may also contribute to the limit.

The invoice limit applies to both approving and sending. An invoice you approved for your own records and never emailed still used capacity. That same footnote scopes the limit to invoices and does not mention quotes; several third-party guides state quotes count toward the 20, and we follow Xero’s wording rather than theirs.

App and integration transactions count too

Xero states that transactions initiated by app partners may automatically contribute to the limit. A connected store or payment app can spend your slots without you opening Xero โ€” see how connected apps consume plan limits.

Bills run on a separate count of five

Bills have their own monthly cap and do not draw from the invoice count.

โš ๏ธ This Costs You: An ecommerce or payments integration can exhaust a month’s invoice capacity in days. If yours is connected, the fix is the integration’s sync settings, not the plan.

What the upgrade adds each month

The +$30 and +$32 figures are The Software Scribe’s calculation from Xero’s published Early and Growing subscription prices; Xero publishes the plan prices, not the difference. Growing removes the invoice and bill caps โ€” for what else moves between tiers, see what each Xero tier blocks.

The prices change on 1 October 2026

Both sets are in the table above, with their effective dates in the cells. All figures are USD and exclude sales tax and add-ons.

Three terms to check before you press upgrade

Upgrading is instant. Reversing it is not.

You can’t downgrade for 30 days

Xero’s FAQ states you can upgrade any time but can only downgrade after 30 days on a plan. Its pricing page words the same term as one month after upgrading. The two are not identical and Xero has not reconciled them; we report both.

Cancelling needs a month’s notice

Cancellation requires one month’s notice from inside your account, and subscriptions auto-renew monthly until cancelled.

Upgrading now does not lock in the old price

Xero’s published update states the increase applies to new and existing US subscribers from 1 October 2026. Upgrading this week does not hold today’s rate โ€” see the October 2026 US price change. Existing discounts and promo codes are honoured until they expire.

โš ๏ธ This Costs You: An upgrade taken to clear one blocked month is a 30-day commitment, so it carries at least a second month at the higher rate. The figure is in the table above.

Which move fits the rest of your month

Pick by where you are in the month, not by how the block feels.

If you have days left and few invoices

Wait. The count returns next month and costs you nothing but timing.

If you’re blocked with a customer waiting

Check the extension first. If it is not offered, upgrading is the only route Xero documents for releasing drafts inside the current month.

If this happens every month

The caps are the wrong fit and the upgrade is a budget decision โ€” see what Xero costs across all three plans. If drafted invoices have crossed a period end, how to record them is a question for your accountant, not a plan choice.

โœ… Do This: Before next month begins, check whether a connected app is spending your slots. That is the cheapest thing to fix.

๐Ÿงพ Not Tested: We did not operate a paid Xero Early subscription at its cap. The blocked draft state and the extension prompt are described from Xero’s published documentation, not from a screen we saw. We could not verify how many invoices the extension releases, whether it is charged for, whether “once” is per organization or per subscriber, or whether the monthly count resets on a calendar or billing month.

Frequently asked questions

1. Are my blocked Xero invoices deleted?

No. Invoices past the limit save as drafts in your invoice list and stay there until you release them or the month turns.

2. Can I send more invoices without upgrading Xero?

Sometimes. Xero offers Early subscribers a one-off extension that processes additional invoices and bills, if you have not already used it.

3. How many extra invoices does the Xero extension release?

Xero does not publish a number. Its documentation says only that the extension covers a limited number of additional invoices and bills.

4. Do quotes count toward the Xero invoice limit?

Xero’s footnote scopes the limit to approving and sending invoices and does not mention quotes. Some third-party guides disagree; we follow Xero.

5. Do app-created invoices count toward the Xero Early limit?

Yes, they can. Xero states transactions initiated by app partners may automatically contribute to the Early plan invoice limit.

6. When does my Xero invoice count reset?

Xero says to wait until the next month but does not specify calendar or billing month. We could not verify which applies.

7. Can I downgrade Xero back to Early after upgrading?

Not immediately. Xero’s FAQ states you can downgrade only after 30 days on a plan; its pricing page words this as one month.

8. Does upgrading now protect me from the Xero price increase?

No. Xero’s published update states the increase applies to new and existing US subscribers from 1 October 2026.

9. Is the Xero Early plan the same as Ignite or Starter?

They are the equivalent entry plans in other regions โ€” Ignite in Australia, New Zealand and the UK, Starter elsewhere. This page covers the US plan.

Before next month starts

Count where your 20 went. If a connected app is consuming slots, that is the thing to fix rather than the plan. If the extension is still available to you, it is the route Xero documents for a single bad month.
