Free plan: the revenue line

Zoho says the Free plan is available indefinitely while financial-year revenue does not exceed $50K (Zoho’s plan FAQ, 8 October 2026). The pages linked here do not say what happens above that line. See what the Free plan leaves out for its other gaps.

The 14-day free trial

Tax, auto-renewal and the refund window

Zoho’s prices exclude local taxes (8 October 2026). Under Zoho’s refund policy, monthly and yearly subscriptions auto-renew until cancelled, with an email before each renewal.

Zoho offers a full refund to a dissatisfied customer who contacts it within the first month (monthly billing) or 45 days (annual). After a renewal, cancelling within five business days (monthly) or fifteen days (annual) also qualifies.

Zoho Books cost for 5 and 8 users, with extra seats

Seats beyond a plan’s included users are an add-on, so the bill depends on team size.

What an extra user costs

An extra user costs $3 a month on monthly billing or $2.50 a month billed yearly (Zoho’s add-on pricing, 8 October 2026).

A 5-user and an 8-user bill

Calculated by us from Zoho’s published prices, 8 October 2026:

Plan and seatsMonthly billingBilled yearly, per month
5 users: Standard + 2 extra users$26 ($20 + 2 × $3), 8 Oct 2026$20 ($15 + 2 × $2.50), 8 Oct 2026
5 users: Professional (5 included)$50, 8 Oct 2026$40, 8 Oct 2026
8 users: Standard + 5 extra users$35 ($20 + 5 × $3), 8 Oct 2026$27.50 ($15 + 5 × $2.50), 8 Oct 2026
8 users: Professional + 3 extra users$59 ($50 + 3 × $3), 8 Oct 2026$47.50 ($40 + 3 × $2.50), 8 Oct 2026

On caps alone, Standard plus extra seats costs less than Professional at both team sizes. The next section shows what Standard lacks. To price your own team, use the Subscription Cost Calculator.

Monthly versus yearly over 12 months

Standard costs $240 over 12 months on monthly billing and $180 on yearly, a $60 saving; Ultimate costs $3,300 against $2,880, a $420 saving (our calculation, 8 October 2026).

⚠️ This Costs You: Zoho’s refund policy (retrieved 8 October 2026) describes yearly billing as an annual up-front commitment, so the saving means paying for a year at once.

What you gain at each Zoho Books price step

Zoho’s plan comparison, as recorded on 8 October 2026, adds features in three steps.

Free to Standard

Among the rows Standard adds are “Setup bank & credit card feeds via third party provider”, “Track sales tax and use tax” and “E-File 1099-MISC & 1099-NEC”; Free lists none of them. “Prepare and file 1099s” appears on all six plans (8 October 2026). Whether a business needs any of these is a question for a licensed tax professional.

Standard to Professional

Professional adds “Multi-currency invoicing”, “Manage projects” and “Project tasks”; Standard lists none of them (8 October 2026).

Premium, Elite and Ultimate

Premium adds “Budgeting”, “Fixed asset management” and “Vendor portal”. Elite and Ultimate add “Manage warehouses”. Only Ultimate lists “Collaboratively create reports with colleagues” and “Embed reports in web sites/applications” (8 October 2026).

Which Zoho Books plan to start with

Start with the cheapest plan whose caps and features cover what you do now, and move up only when a cap forces it.

Start with Free if

You are the only user, your revenue sits under the Free plan’s line (see the catch section), and you need none of the rows Standard adds.

Match your user count to a plan

Count your users against the included users in the caps section. In both bills above, Standard plus extra seats costs less than Professional.
