Xero integrations, the Zapier gate, and the caps on each plan

Xero integration guide showing native apps, Zapier, and direct API connection routes

Xero connects three ways: 1,000+ native apps in its App Store, Zapier, or the API direct. Zapier lists 14 Xero triggers, 6 searches and 15 actions, verified 5 September 2026 — and Xero is a premium app, so a paid Zapier plan is required. The gate that bites is the entry plan’s 20-invoice cap: Xero states app-partner transactions may count toward it.

Start with what you’re trying to connect

Three different things get called a Xero integration, and they fail for different reasons. Start where your problem is.

If you’re choosing between an app and a Zap

Native apps run on Xero’s own connection. Zapier sits outside it and bills separately, which changes the arithmetic before it changes the setup.

If something has stopped syncing

Check the connecting user’s role before you rebuild anything. A wrong-role connection fails quietly and looks like a broken app.

If you’re on the entry plan

Your monthly transaction limit may be what’s blocking the sync, not the connector. That mechanism is two sections down.

Native apps from the Xero App Store

Xero’s pricing page states that 1,000+ apps connect once you sign up, retrieved 5 September 2026. Each is a separate commercial relationship with its own vendor, its own price and its own support queue.

Zapier’s published surface

Zapier’s Xero documentation, retrieved 5 September 2026, lists 14 triggers, 6 searches and 15 actions. Only one trigger is instant; everything else runs on a polling clock.

The API route

Xero’s developer documentation links a published MCP server and agent toolkit, retrieved 5 September 2026. That is a build, not a purchase.

If you’re planning to connect something during the trial, read the free trial terms first.

What your Xero plan blocks

Yes, your plan tier gates integrations, in two ways: a transaction cap on the entry plan, and features only the top plan includes.

App-created transactions can contribute to a Xero plan’s monthly transaction allowance.

The cap counts what your apps create

💵 Verified: The Early plan’s invoice limit applies to approving as well as sending, and transactions initiated by app partners may automatically contribute to it — Xero’s US pricing page, retrieved 5 September 2026.

The caps themselves — how many invoices, how many bills — are covered in the invoice and bill limits in full.

🔍 Why It Works This Way: An ecommerce connector pushing orders into Xero spends the same monthly allowance a person typing invoices does. The limit is on the transaction, not on who created it.

Zapier’s Xero documentation, citing Xero’s published API limits, states that organisations on Xero’s Starter plan can enter 20 approved sales invoices and 5 approved bills a month through the API, retrieved 5 September 2026. Xero’s own limits page did not render in our retrieval on that date, so this rests on Zapier’s citation of it. Starter is Xero’s entry plan name outside the US.

Which connectors need the top tier

Multiple currencies, project time and cost tracking, and employee expense and mileage claims sit on Established only, per Xero’s plan comparison table retrieved 5 September 2026. A connector syncing foreign-currency invoices has a plan requirement before it has a setup step — what each tier blocks covers the rest.

What Zapier adds to the bill

No, you cannot do this on Zapier’s free plan. Zapier lists Xero as unavailable on Free and available on Professional, Team and Enterprise, retrieved 5 September 2026.

The prerequisites are a paid Xero account, Standard or Adviser permissions in Xero, and a paid Zapier plan. Zapier’s published plans show Professional starting from $19.99 a month and Team from $69 a month, retrieved 5 September 2026; both rise with the task tier you select.

🗓️ Pricing verified 5 September 2026. Software pricing changes frequently — confirm on the vendor’s site before purchasing.

Polling speed is sold as a plan feature

Zapier’s published polling times are 15 minutes on Free, 2 minutes on Professional and 1 minute on Team, retrieved 5 September 2026. With almost every Xero trigger on a polling clock — see the table above — that interval is your sync latency.

Where the integration stops

Zapier states its Xero integration does not directly support the Projects API and points to Webhooks by Zapier instead; the New Project trigger may not fire above 500 projects, retrieved 5 September 2026. Three employee operations are marked Australian-instance-only.

⚠️ This Costs You: If your automation depends on project billing, Zapier is not the route. You are either building webhook requests yourself or paying an app vendor to do it — a cost that appears after you have already bought the plan.

Xero app authorization depends on the user’s role and required Connected Apps permission.

Who is allowed to connect an app

The connecting user needs Standard, Adviser or Administrator level with the Connected Apps permission, per Xero’s permissions documentation retrieved 5 September 2026.

The permission inside the role

The API acts on behalf of whoever authorised it. Reporting endpoints and the manual journals and journals endpoints require that user to have Reports access; payroll endpoints require Payroll Admin.

Note that the person who can connect apps is not necessarily the person who pays — subscriber and user are separate roles.

Why your organisation isn’t in the dropdown

Xero documents two causes: the user lacks Standard or Adviser permissions in that organisation, or that app is already connected to it.

Before you connect from a second account

🛟 Back This Up First: Zapier states that a second connection to the same Xero account, made under a different Zapier account, replaces the previous one and causes disconnections. Before authorising, list every live Zap using the existing connection and note which Zapier account owns it — rebuilding them afterwards is manual.

What changed for Xero apps in 2026

From 2 March 2026, Xero replaced its revenue-share model with five developer tiers priced on connections and data egress, per Xero’s developer pricing FAQ retrieved 5 September 2026.

App billing moved off the Xero App Store

Xero retired App Store Subscriptions and required app partners to move customers onto their own billing by 1 July 2026, same source and date. If an app used to appear on your Xero invoice and now charges you directly, that is the documented reason.

The call limits your integration works inside

Xero’s developer pricing FAQ gives 5 concurrent calls, 60 a minute per organisation, and 1,000 a day on the Starter tier or 5,000 on higher tiers, retrieved 5 September 2026. Zapier’s Xero page states a flat 5,000 a day, retrieved the same date; Xero’s own documentation governs its limits, and Zapier’s page does not mention the Starter-tier figure.

Standard, Adviser or Administrator level with the Connected Apps permission, per Xero’s permissions documentation retrieved 5 September 2026.

8. Why isn’t my organisation in the connect dropdown?

Xero documents two causes: you lack Standard or Adviser permissions in that organisation, or that app is already connected to it.

Check these three things before you connect

✅ Do This: Confirm your plan allows what the connector needs, confirm the person clicking connect holds Standard or Adviser with the Connected Apps permission, and price the connector’s own subscription before you build on it.
