Xero plan limits and the exact point each one stops you

Xero plan limits for invoices and bills by plan and region

Xero’s Early plan in the US allows 20 invoices and 5 bills a month; UK Ignite allows 20 invoices and 10 bills, verified on Xero’s pricing pages on 4 September 2026. Go over and the extra documents save as drafts. You can wait for next month, use Xero’s one-off extension, or upgrade — $30 a month more at prices verified 4 September 2026.

Which Xero plan you are on decides your limits

The numbers in the heading belong to specific plans in specific regions. Check yours before acting on them.

If you are in the US

Xero sells three US plans — Early, Growing and Established — per its US pricing page retrieved 4 September 2026. Only Early carries a monthly cap.

If you are in the UK, Australia or New Zealand

The entry plan is Ignite. It caps invoices at the same number as Early and bills at a different one.

If your plan is called Starter, Standard or Premium

Those names are gone. Xero’s UK pricing page, retrieved 4 September 2026, states the current plans arrived on 12 September 2024 and the old three are no longer sold. Its US FAQ still names Starter, so subscribers left on one are covered below.

What the limits are on Xero’s entry plan

Xero publishes these on its plan pages, and they are not the same in every region.

Region and entry planInvoices a monthBills a monthVerified

UK — Ignite20104 September 2026
Australia and NZ — Ignite20Not published on the plan page4 September 2026

The US Early plan

The invoice limit and the five-bill figure both sit in the Early column of Xero’s US plan comparison, retrieved 4 September 2026. Bank reconciliation is not capped there.

Xero plan limits differ between US Early and UK Ignite, particularly for monthly bills.

The UK Ignite plan

Xero’s UK plan comparison, retrieved 4 September 2026, reads “Enter 10 bills” against Ignite. A UK reader acting on the US figure would think they were over the cap when they were not. Our piece on the new UK prices in full covers the rest.

Australia and New Zealand

Xero’s Australian Ignite page, retrieved 4 September 2026, sends anyone needing more than 20 invoices to Grow. It states no bill figure, so we publish none.

💵 Verified: UK Ignite allows 10 bills a month where US Early allows 5 — Xero’s UK and US plan comparison tables, both retrieved 4 September 2026.

Xero plan limits reached with invoices saved as drafts and options to wait, extend, or upgrade
When Xero plan limits are reached, additional invoices and bills can remain as drafts while you consider your next option.

What happens when you hit the limit

The invoice is not lost. Xero saves it as a draft and blocks the approval.

Extra invoices and bills save as drafts

Xero’s own answer on going over your plan limits, retrieved 4 September 2026, states that once you reach the cap, additional sales invoices and bills save as drafts. Nothing you typed disappears. What stops is approval, which is also what stops the invoice reaching the customer.

The one-off extension

The same page states that Ignite subscribers in Australia, New Zealand and the UK, Early subscribers in the US, and anyone still on Starter can use a one-off extension to process a limited number of extra bills and invoices. It works once. If Xero does not offer it, that page says you have already used it.

Xero does not publish how many documents the extension covers, and no page we retrieved on 4 September 2026 states it. We are not going to estimate one.

Waiting until next month

The same page gives waiting as an option: hold the drafts and process them in the next month. It costs nothing.

What counts toward the limit, and what crossing it costs

Two mechanics explain why the cap arrives early.

Approving counts, not only sending

The footnote under Xero’s US plan comparison, retrieved 4 September 2026, states the Early cap applies to approving as well as sending. An invoice approved and never emailed still uses a slot.

The same card reads “send quotes and 20 invoices” without saying a quote consumes one. Competing pages assert that it does. Xero’s page does not, so neither do we.

Connected apps spend it for you

That footnote also states transactions initiated by app partners may automatically contribute to the limit. A store or billing tool pushing invoices in spends the allowance without you issuing anything.

🔍 Why It Works This Way: The counter tracks approvals rather than sends, so anything that approves on your behalf draws down the same allowance. That is why the ceiling can arrive before your own invoicing suggests it should.

What crossing costs

Growing costs $30 a month more than Early at US list prices verified 4 September 2026. One invoice over the cap and the bill more than doubles. From 1 October 2026 that gap becomes $32, on the new prices covered in what the increase changes on your next bill.

⚠️ This Costs You: There is no tier between Early and Growing. The twenty-first invoice does not cost a little more; it costs $30 a month at prices verified 4 September 2026, whether you send one over the cap or two hundred.

Xero plan limits before and after upgrading from Early to Growing
Upgrading removes the invoice and bill caps, while other Xero plan limits can still apply.

What upgrading actually removes

The next tier removes the invoice and bill caps. It does not remove every limit.

The caps do go

Neither Xero’s US nor its UK plan comparison shows an invoice or bill figure against Growing or Grow, both retrieved 4 September 2026.

What stays limited further up

US Growing shows three budgets. Cash flow forecasting runs 30, 60 and 180 days across the three US tiers. Multi-currency, project tracking and expense claims sit on Established alone. All from the same tables, retrieved 4 September 2026.

The UK charge worth knowing about

Auto-reconcile is an optional £3.50 a month add-on on UK Ignite, included from Grow upward, per Xero’s UK comparison retrieved 4 September 2026. The entry plan charges separately for the job most buyers want the software for.

The full plan-by-plan picture sits in our Xero pricing, plan limits and what it costs to leave guide.

Before you upgrade, two things to know

Both sit on Xero’s own pages and neither is prominent.

You cannot go back down for a month

Xero’s US and UK pricing pages, both retrieved 4 September 2026, state you can move to a cheaper plan only one month after upgrading. Its US FAQ words the same rule as 30 days on a plan. Take the stricter reading: upgrading to clear one blocked invoice commits you for a month, and leaving entirely takes one month’s notice.

When the limit resets is not published

We could not establish it. No Xero page retrieved on 4 September 2026 states the reset point, and a Xero Central question from an Ignite subscriber reports it is not the plan anniversary date. One integration partner’s documentation says the invoice date rather than the creation date decides the month — a partner’s statement, not Xero’s. We are not choosing between them.

If drafts are a problem for your records

Whether an unapproved invoice satisfies a record-keeping or filing obligation is a question for your accountant, not one this site answers.

✅ Do This: Before upgrading, check whether the extension is still offered and whether the held drafts can wait until next month. Both are free; the upgrade is not, and it holds you for a month.

🧾 Not Tested: We hold no Xero subscription in any region, so nothing here describes using the product. We have not seen the extension offered, the draft state in the invoice list, or the counter itself. Every figure comes from four public Xero pages retrieved 4 September 2026.
