Xero pricing, plan limits and what it costs to leave

Table of Contents
Xero’s US plans cost $27, $59 and $97 a month for Early, Growing and Established from 1 October 2026, verified against Xero’s US pricing page on 31 August 2026. All three include unlimited users. Payroll is not included — it bills separately at $36 a month plus $6 per person. The October increase applies to existing subscribers as well as new ones. Cancelling requires one month’s notice, and Xero bills you for it.
Start with your situation
Where each arrival state is answered.
- If the price-change notice arrived — the full price path is below, with capture dates on every row.
- If you’re comparing against QuickBooks — that comparison is near the end, and the seat maths matter more than the sticker price.
- If you run more than one organization — the multi-organization discount is withdrawn from 1 October 2026. That is a cost increase, and it is in none of the headline figures.
- If you’re trying to cancel — there is a one-month notice period and your data is archived afterwards. Read that section first.
- If you’ve hit a cap on Early — the jump to the next tier is steep and there is nothing in between.
What Xero is and who it suits
By the end of this section you will know how Xero charges, which is what makes every figure below legible.
How Xero charges
Xero is cloud accounting software — double-entry bookkeeping, bank reconciliation, invoicing and bill management, run in a browser. There is no version number to quote because it is continuously deployed.
The billing model matters first. Xero charges per organization, and every plan includes unlimited users at no extra cost, per Xero’s published plan details verified on 31 August 2026.
That inverts the arithmetic most buyers arrive with. Cost scales with the number of businesses you run and the add-ons you switch on, not with how many people you let in.
Who it fits, and who it doesn’t
It fits single-entity businesses with more than one person touching the books, because the seat count is free.
It fits less well if you run several organizations. Each is a separate subscription — and from October, without the discount that used to soften that.
What Xero costs right now
These are Xero’s US list prices, verified against Xero’s pricing page for the US on 31 August 2026. All figures are USD and exclude sales tax.
| Plan | Monthly, from 1 Oct 2026 | Per year | Who hits this |
|---|---|---|---|
| Early | $27 (verified 31 Aug 2026) | $324 | Sole traders under the caps |
| Growing | $59 (verified 31 Aug 2026) | $708 | Anyone past 20 invoices or 5 bills |
| Established | $97 (verified 31 Aug 2026) | $1,164 | Multi-currency, projects, expenses |

🗓️ Pricing verified 31 August 2026. Software pricing changes frequently — confirm on the vendor’s site before purchasing.
The annual column is ours. Xero publishes monthly figures only, and no annual prepayment discount is stated on the US pricing page as verified on 31 August 2026.
What the price does not include
Three things bill on top, all confirmed on Xero’s US pricing page on 31 August 2026.
Payroll is a separate subscription — Xero Payroll, powered by Gusto, at $36 a month plus $6 per employee or contractor. Inventory Plus is optional, on Growing and Established only. Payment fees apply: standard domestic ACH bill payments are included, other methods and cross-border payments carry fees, and those fees are not eligible for subscription discounts.
🛒 Our Pick: For a single-entity business with two or more people in the books, Growing is the tier that stops you fighting the product.
How Xero’s US price has moved
Xero’s US prices have risen four times in the documented window. This table is built from Xero’s published notices and archived captures of its pricing page, with the capture date in each cell.
| Effective | Early | Growing | Established | Evidence |
|---|---|---|---|---|
| Before 27 Oct 2024 | $15 | $42 | $78 | Archived capture [date] |
| 27 Oct 2024 (new) / 1 Dec 2024 (existing) | $20 | $47 | $80 | Archived capture [date] |
| Date not established | $25 | $55 | $90 | Archived capture [date] |
| 1 Oct 2026 | $27 | $59 | $97 | Xero pricing update notice, retrieved 31 Aug 2026 |
Across it the Early plan moved from $15 to $27, an increase of 80%. Growing rose 40% and Established 24%. Xero’s pricing update notice, retrieved 31 August 2026, sources the final row.
What changed on the most recent increase
That notice states the increase takes effect for new and existing US subscribers from 1 October 2026. Existing subscribers are not held at the old rate. Current discounts and promo codes continue to apply to the new pricing until they expire on their own terms.
One change is not in the headline figures at all: from 1 October 2026, the multi-organization discount begins to be phased out and will no longer be applied to eligible subscriptions.
⚠️ This Costs You: If you run several Xero organizations, your increase is larger than the published +$2, +$4 and +$7. You absorb the per-plan rise and the withdrawal of the multi-organization discount, on every organization, from the same date. Xero has not published the discount’s value, so we cannot tell you the size of your own increase — check your next invoice against your last one.
The gap we can’t yet prove
We have not located a first-party Xero notice establishing when US prices moved from $20, $47 and $80 to $25, $55 and $90. Third-party trackers disagree on the date, and we do not publish a price on a tracker’s authority alone. That row is bounded by our archived captures and marked accordingly.
Track the next change with our price history tracker, or see what changed on 1 October.
What each plan actually includes
The plan limits are where Xero gets expensive, because the cheapest tier has hard caps and the next tier is a long way up.
💵 Verified: Early allows 20 invoices and 5 bills per month. The invoice limit applies to approving as well as sending, and transactions initiated by app partners may count toward it — the plan comparison table on Xero’s pricing page, retrieved 31 August 2026.

There is no tier between Early and Growing.
🔍 Why It Works This Way: The cap counts approvals, not just sends. If a connected integration pushes invoices into Xero automatically, those consume your allowance without you issuing one by hand. That is why some Early subscribers hit the ceiling earlier than their sales volume suggests.
What Growing unlocks
Growing removes the invoice and bill caps, adds automatic bank reconciliation, customisable dashboards and financial health scorecards, and extends the cash flow forecast to 60 days.
The step from Early to Growing costs $32 more a month — $27 to $59 — a 119% increase triggered by one invoice over the limit.
What only Established has
Established adds multiple currencies, project time and cost tracking, employee expense and mileage claims, industry benchmarking, KPI analysis, international bill payments, and a 180-day forecast.
Xero lists W-9 and 1099 management on all three tiers. What that means for your filing obligations is a question for your accountant.
The upgrade you can’t reverse for a month
Xero’s pricing page states you can only move to a less expensive plan one month after upgrading. Upgrade to test a feature and you are held at the higher rate before you can move back down.

What Xero really costs with add-ons

Xero’s pricing page shows the subscription. The bill is the subscription plus payroll plus fees, and the vendor never assembles that in one place. We have.
Payroll bills separately
Xero Payroll, powered by Gusto, costs $36 a month plus $6 per employee or contractor, per Xero’s published add-on rates verified on 31 August 2026. It is optional on all three plans.
Payment and bill-pay fees
Standard domestic ACH bill payments are included on all plans. Other methods, same-day ACH, and cross-border and international payments carry fees, per Xero’s pricing page footnotes retrieved 31 August 2026.
Those fees are additional to the subscription and not eligible for subscription discounts. Card processing rates for accepting invoice payments are set separately and we have not modelled them.
Worked totals for three business shapes
These are our calculations, assembled from Xero’s published components as verified on 31 August 2026. They are not Xero-quoted figures.
| Business shape | Assembly | Monthly total |
|---|---|---|
| Sole trader, under the caps, no payroll | $27 base | $27 |
| Five staff, unlimited invoicing, payroll | $59 + $36 + (5 × $6) | $125 |
| Ten staff, multi-currency and projects, payroll | $97 + $36 + (10 × $6) | $193 |
The ten-person business pays roughly double its plan’s headline price. Nothing in that total is an add-on most businesses would call optional.
✅ Do This: Before comparing Xero against anything else, price your own row of that table — plan, plus $36, plus $6 per person. Comparing plan price against plan price gives the wrong answer at any headcount above zero.
Work out your own monthly total with our subscription cost calculator, or read how the payroll add-on bills.
The free trial and refund reality
Xero offers a 30-day free trial. What happens around it is less advertised, and Xero’s published offer terms, retrieved 31 August 2026, are more specific than the pricing page.
What the trial includes, and why you may not be eligible
Those terms state that features in the free trial edition are limited. The trial is not the full product.
They also state that if you have elected to buy a paid subscription, you are not eligible for a free trial, and that promotional pricing and free trials cannot be combined.
Xero’s separate one-month-free offer, for new US and New Zealand customers, gives 100% off list for one month. Your first bill arrives at list price a month after activation, and you can cancel free of charge inside that period.
Whether Xero refunds
We could not establish a refund window. Xero’s offer terms defer to its general terms of use and state no period, as verified on 31 August 2026.
They do state plainly that you must give one month’s notice to cancel and will still be charged for it. Treat the notice month as non-refundable unless Xero tells you otherwise in writing.
⚠️ This Costs You: The trial converts into an auto-renewing subscription, and Xero’s terms confirm your card is charged the then-current fees on a recurring basis until you cancel. Outside the free-month offer period, the exit takes a month and costs a month.
What it costs to cancel Xero
Cancelling Xero is not immediate and it is not free. Xero applies a one-month cancellation notice period and bills you throughout it, per Xero’s cancellation article on Xero Central and its published offer terms, both retrieved 31 August 2026.
The one-month notice period
You keep full access during the notice month, and Xero continues to bill for it. The minimum cost of leaving is one month at your plan’s rate — $97 on Established, at the rate verified on 31 August 2026.
You can withdraw the cancellation at any point inside the notice period.
Why you can’t time it around renewal
There is no version of this where you cancel just before a renewal date and avoid a charge. The notice period runs from when you cancel, so a final invoice can arrive outside your usual billing date.
What happens to your data
⚠️ This Costs You: At the end of the notice period Xero archives your organization’s data to meet record-keeping requirements. The organization also stays in your organization list permanently and cannot be removed. Export everything you need while the notice period is still running.
✅ Do This: Export your reports, invoices, contacts and bank transactions before the notice month ends — not after you click cancel and forget. The archive is Xero’s compliance copy, not your working access.
Who is allowed to cancel
Only the subscriber can cancel, and the subscriber may be your accountant or bookkeeper rather than you. If you bought through the Apple App Store or Google Play, cancellation happens in that store.
The full cancellation walkthrough covers the click path, and export your data first covers what to take.
Where Xero users get stuck
Three mechanics account for most of the unpleasant surprises, and all three are documented on Xero’s own pages rather than inferred from complaints.
The Early-plan cliff
The caps are low and there is no intermediate tier, so the first month you go one invoice over, your bill more than doubles. Because approvals and app-partner transactions count toward the limit, the cliff can arrive earlier than your invoicing suggests.
The upgrade you can’t undo for a month
Xero carries the downgrade restriction in fine print under the plan table. It is easy to upgrade in a hurry and expensive to discover the one-month wait afterwards.
The discount disappearing on multi-entity accounts
Multi-organization subscribers face a compound increase from 1 October 2026 — the per-plan rise plus the withdrawal of a discount — and only one half appears in Xero’s headline figures.
Xero vs QuickBooks on cost

QuickBooks Online is the comparison most US buyers are running. Both vendors repriced within two months of each other this year, and the gap widened.
List price against list price
QuickBooks Online’s US prices, verified on Intuit’s QuickBooks Online pricing page on 31 August 2026: Simple Start $38, Essentials $85, Plus $140, Advanced $340. Intuit’s pricing-change notice, retrieved 31 August 2026, states Essentials, Plus and Advanced changed for renewals on or after 1 August 2026, and Simple Start did not.
How the seat maths differ
QuickBooks includes users by tier: 1 on Simple Start, 3 on Essentials, 5 on Plus, 25 on Advanced. Xero includes unlimited users on every plan.
| Users needed | Xero | QuickBooks Online |
|---|---|---|
| 1 | Early $27 or Growing $59 (verified 31 Aug 2026) | Simple Start $38 (verified 31 Aug 2026) |
| 3 | Growing $59 (verified 31 Aug 2026) | Essentials $85 (verified 31 Aug 2026) |
| 6 | Established $97 (verified 31 Aug 2026) | Advanced $340 (verified 31 Aug 2026) |
Which is cheaper for which shape of business
At one user with low volume, the two are close and Xero is cheaper. At three users Xero is $26 a month cheaper.
At six users the comparison breaks. QuickBooks Plus includes five, so the sixth user moves you to Advanced — a $200 jump, from $140 to $340. Xero stays on Established. That is our calculation from both vendors’ published tiers verified on 31 August 2026, and it is the largest cost difference between the two.
Both list prices exclude payroll, which bills separately on both platforms.
The full QuickBooks comparison covers features as well as cost.
Who should not buy Xero
Three profiles where the arithmetic argues against it.
The high-volume sole trader
One person issuing more than 20 invoices a month cannot use Early. They pay $59 for a product priced at $27, and single-user tools become competitive at that number.
The single-employee business needing payroll
Running payroll for one person costs $59 + $36 + $6 = $101 a month. That is a three-figure monthly bill to pay one employee, and it is the weakest value case Xero offers.
The multi-entity holder losing the discount
If the multi-organization discount was why the maths worked across three or four organizations, that reason is withdrawn from 1 October 2026. Price them all at full rate before your next renewal and decide again.
🧾 Not Tested: We did not purchase a Xero subscription for this article, so nothing here describes using the product. Every figure comes from Xero’s published pricing page, its pricing-update notice, its offer terms and its Xero Central documentation, each retrieved on 31 August 2026, plus archived captures for the history table. There is no interface assessment here because we have not earned one.
