What Zoho Books is and who it fits

What Zoho Books covers

Zoho Books is cloud accounting software; no install is needed (Zoho’s pricing FAQ, 8 October 2026). Zoho’s Free plan lists invoices, quotes, expenses, journals, bank reconciliation and a customer portal. Nobody here has used it.

Where it runs: web, iOS, Android and Windows

Zoho’s navigation, read 8 October 2026, links to iOS, Android and Windows apps. Its dated Zoho Books release notes listed a 31 July 2026 entry first that day.

What it leaves to other Zoho apps (payroll)

Payroll is a separate Zoho product (Zoho’s footer, 8 October 2026), outside this page and its prices.

Free: no charge, with a revenue ceiling

๐Ÿ’ต Verified: Yes, the Free plan applies while financial-year revenue “does not exceed the threshold of $50K”, and covers one user plus one accountant โ€” Zoho’s US pricing FAQ, retrieved 8 October 2026.

The ceiling is Zoho’s eligibility rule, not a tax threshold.

Standard and Professional

Standard includes three users and Professional five.

Premium, Elite and Ultimate

Their added features are in the gating section.

How to read “billed annually”

The annual column is a per-month equivalent. Twelve payments of it come to $180 a year on Standard and $480 on Professional, the site’s calculation from Zoho’s prices of 8 October 2026. Zoho’s pages do not say whether annual billing is one up-front charge; the break-evens below assume it is.

What third parties claim, and why we don’t repeat it

Some trackers and reviews report earlier Zoho prices or a dated rise. None matched a capture of Zoho’s own page, so none is repeated.

The record starts on 8 October 2026; earlier movement is not established.

What each Zoho Books plan actually includes

Zoho’s comparison page, read 8 October 2026, sorts features into three rungs: Free, Standard and Professional.

The Free plan leaves out

Free lists no third-party bank feeds, sales or use tax tracking, recurring expenses, transaction locking, custom fields or invoice-branding removal. It also lists no vendor bills, multi-currency invoicing or stock tracking.

Standard adds bank feeds, sales-tax tracking and more users

Bank feeds start on Standard, which also adds recurring expenses, transaction locking, custom fields and branding removal (comparison page, 8 October 2026).

Professional is where vendor bills start

On 8 October 2026 the comparison page stated: “Bills are supported only in the Professional, Premium, Elite, and Ultimate plans.” Expenses are supported on every plan. Professional also begins multi-currency and stock tracking.

1099 e-filing and tax features (not advice)

Zoho’s pricing page, read 8 October 2026, lists “Prepare and file 1099s” under Free and “E-File 1099-MISC & 1099-NEC” under Standard; the comparison page lists “E-File 1099 forms with IRS” for every plan except Free. Neither explains filing on Free. The IRS rule on e-filing information returns, reviewed 10 July 2026, states: “If you have 10 or more information returns, you must file them electronically.” This lists what plans include; it does not say which plan meets your filing or sales-tax duties. Ask a CPA.

Premium, Elite and Ultimate in one paragraph

Premium adds budgeting, fixed assets and a vendor portal. Elite adds warehouses, serial and batch tracking, marketplace connections and up to two Shopify stores. Ultimate adds analytics features.

Annual caps on invoices and expenses

As of 8 October 2026, annual invoice caps are 1,000 on Free, 5,000 on Standard, 10,000 on Professional, 25,000 on Premium and 100,000 on Elite and Ultimate. Expense caps match; from Professional up they cover expenses and bills combined, and the page states no period.

True cost of Zoho Books with add-ons

Using Zoho’s prices of 8 October 2026, this section adds up what a team pays.

The flat gap between Standard and Professional

Both plans charge extra users at the same rate, and Professional includes two more. From five users up, the gap holds at $20 a month billed annually and $24 monthly (8 October 2026). Working from the prices of 8 October 2026, with N as users (the site’s calculation): $40 + $2.50 ร— (N โˆ’ 5) minus $15 + $2.50 ร— (N โˆ’ 3) = $20; $50 + $3 ร— (N โˆ’ 5) minus $20 + $3 ร— (N โˆ’ 3) = $24.

Extra users cost per user, per month

Zoho’s FAQ lists add-on users at $3 monthly or $2.50 billed annually (8 October 2026). On those prices a Standard team of N pays $7.50 + $2.50 ร— N annual-billed (8 October 2026); Professional pays $27.50 + $2.50 ร— N.

Team (prices of 8 Oct 2026)Standard, annualStandard, monthlyProfessional, annualProfessional, monthly
3 users$15$20$40$50
5 users$20$26$40$50
8 users$27.50$35$47.50$59
10 users$32.50$41$52.50$65

Zoho does not say whether add-on users have a ceiling. See add-on user and BillPay costs.

Professional plus BillPay

On 8 October 2026 Zoho listed BillPay at two figures, $59 and $69 a month, marked “Billed annually”, without saying which is which. No BillPay total appears here.

Annual vs monthly: the nine-month line

If annual billing is one payment, Standard costs $180 a year against $20 a month (8 October 2026): level at 9.0 months ($180 รท $20), cheaper after; Professional is level at 9.6 months ($480 รท $50). The assumption is unconfirmed.

โš ๏ธ This Costs You: Leaving at month six costs $180 on Standard annual against $120 monthly, $60 more (prices of 8 October 2026), because Zoho’s refund page describes no cash refund for annual plans outside its window.

To price your team, work out your own monthly total.

Zoho Books free trial and refund policy

As of 8 October 2026, Zoho’s refund policy sets a one-month window on monthly plans and 45 days on annual plans.

The 14-day trial: what Zoho says and doesn’t

Zoho’s pricing page offers a 14-day free trial. It does not name the trial’s plan, say whether a card is required, or say whether the trial converts to paid by itself. This record holds no dated Zoho answer.

Does Zoho Books auto-renew? Yes

Yes. Zoho’s refund page, read on 8 October 2026, says monthly and yearly subscriptions “will auto-renew until you cancel the service”. A renewal can be cancelled for a full refund up to five business days after the renewal date on monthly plans, or fifteen days after on annual plans.

Refund windows: monthly vs annual

  • Monthly: full refund if dissatisfied in the first month; account downgraded to Free.
  • Annual: full refund within 45 days of signup; account downgraded to Free.

Later requests are not accepted. See refund windows in detail.

Downgrades pay credit, not cash

Partial downgrades of annual plans return credit as subscription extension. Zoho’s formula: total paid โˆ’ (monthly list price ร— months used), discounts excluded. Example, Standard annual after four months, assuming $180 paid and the $20 list price of 8 October 2026: $180 โˆ’ ($20 ร— 4) = $100.

How to cancel Zoho Books and what happens to your data

This section follows Zoho’s documented path from cancelling to deletion.

โš ๏ธ This Costs You: Zoho’s cancellation documentation, read 8 October 2026, says an account inactive for more than 120 days has its data permanently deleted. Cancelling leaves your books view-only. Export or back up first, and sign in at least once every 120 days.

After cancelling, your books turn read-only

Zoho’s page states, “you will only be able to view the data, and you cannot modify it.”

The 120-day inactivity deletion

The sequence runs:

  1. You cancel; the books turn view-only.
  2. The account stays unused for more than 120 days.
  3. The data is permanently deleted.

The page does not define “inactive” beyond accessing the account. The policy text sits on Zoho’s terms page, which was not read.

Export or back up first

Zoho’s page points to its export and backup help articles without steps. Export your data first, then follow the step-by-step cancellation walkthrough.

What you lose by waiting

A cancellation after the renewal window returns no cash. A refund downgrades the account to Free, while cancelling makes it view-only; Zoho’s pages do not say how the two interact.

Where Zoho Books users get stuck

Each item carries its source and date.

๐Ÿงพ Not Tested: No editor opened a Zoho Books account for this page. Bank-feed behaviour, trial conversion and cancellation screens were not observed. Everything below comes from Zoho’s pages, read 8 October 2026.

The Free plan’s revenue ceiling: what Zoho documents and what it doesn’t

Zoho states the ceiling as a financial-year revenue condition. Its pages do not say what happens to an organization and its data once revenue passes it. This record holds no dated Zoho reply.

โœ… Do This: Before revenue nears the ceiling, ask Zoho support in writing what happens next, and keep the dated reply.

Zoho’s own pages disagree with each other

The pricing page and the comparison page give different scheduled-report limits for Standard and Professional, and different pictures of API access: Standard only on one, every plan including Free on the other. Neither set is repeated here; the pages cannot both be right. If a plan choice hinges on either, get Zoho’s answer in writing first.

The annual downgrade surprise

Zoho computes downgrade credit from the monthly list price and excludes discounts (refund page, 8 October 2026). An annual subscriber who downgrades part-way gets back less than straight pro-rating would give.

Bank feeds: left out, and why

A community post reports bank feeds failing for one bank. It is undated and names no plan; a forum post is not a source here.

Zoho Books vs QuickBooks Online on cost

As of 8 October 2026, Zoho’s monthly list prices sit below QuickBooks Online’s at every pairing below.

Free vs Free: where QuickBooks Free is stronger

QuickBooks’ pricing page, read 8 October 2026, lists a Free tier with one user, no accountant access, two invoices a month, one connected bank, and no mobile app or third-party integrations. Zoho’s Free plan lists one user plus one accountant, 1,000 invoices a year (8 October 2026) and no third-party bank feeds. QuickBooks Free is stronger on one point: a connected bank.

Who should not buy Zoho Books

Three readers should not pay as priced above.

The solo under the revenue ceiling who needs only invoicing and reconciliation

Zoho’s page lists invoices, quotes, expenses, bank reconciliation and a customer portal on Free. Standard costs $180 a year billed annually or $240 monthly (8 October 2026), for bank feeds, sales-tax tracking and branding removal. If you do not need those, stay on Free.

The 5-person team that needs vendor bills

Standard for five is $15 plus two extra users at $2.50, $20 a month annual-billed (8 October 2026), and lists no vendor bills. Professional is $40 for the same five (8 October 2026): double, so the headline $15 was never this team’s price.

Anyone planning to leave within nine months

Standard annual costs $180 up front (8 October 2026), on the assumption stated in the true-cost section; leaving at month six, monthly billing costs $120, $60 less.
